Job Summary:
The Child Welfare Training and Advancement Program (CWTAP) within the School of Social Work (SSW) has an excellent career opportunity for a Program Specialist 2. The CWTAP is a grant funded program with a 25+ year history of successful grant renewal.   • The Program Specialist 2, under the general direction of the CWTAP Director, will provide administrative support to the Director, and the Faculty Field Instructors/Lecturers (FFI's), all of whom are out stationed at DCYF and/or University Center in Everett.
  • This position will work from the Cheney campus and Spokane Department of Children, Youth, and Families (DCYF) office(s).
  • This position has extensive involvement with students, staff, faculty, DCYF, University grant partners, and the public in carrying out program activities. The successful candidate will be organized, possess excellent communication skills, be proficient in Microsoft Office programs and motivated to learn.

Required Qualifications:
  • Bachelors degree AND one or more years of experience in program specialty, or two years of full-time experience that involved responsibilities related to providing high-level administrative support to a team. Equivalent education/experience will substitute for all minimum qualifications
  • Proficiency in using Microsoft Office products (Word, Excel, Outlook)
  • Ability to track and accurately work with numbers
  • Effective time management, organization, critical thinking, and information gathering skills
  • Excellent oral and written communication skills; including communication of concerns, in a positive and productive manner
  • Strong customer-service skills with ability to develop and maintain positive and effective working relationships among staff, faculty, students and other members of the DCYF and CWTAP community.


Preferred Qualifications:
  • Knowledge of EWU systems, policies and procedures
  • Understanding of DCYF mission, roles and responsibilities
  • Experience working in higher education or public child welfare
  • Experience working with government agencies, grants and contracts
  • Experience working with Banner or other large and complex database systems with ability to navigate various screens to gather information

Job Duties:

Responsibility / Duty:
  • Actively demonstrate commitment to promoting diversity, equity and inclusion (DEI) in carrying out job duties
  • Provide general administrative support to the Directors, FFIs and Fiscal Analyst in supporting their needs within the program
  • Maintain electronic and hard copy documents and filing systems
  • Compose correspondence, reports, and printed materials related to the CWTAP, edit materials for accuracy, appearance, readability and style
  • Organize events and meetings and provide support for meetings including agenda preparation, light note taking and preparation and dissemination of confidential documents
  • In state travel to meetings, events, and program sites (primarily in the greater Cheney and Spokane area)
  • Assist FFIs in scheduling education seminars, practicums and meetings
  • Act as liaison to students, staff, faculty and administration at EWU and other agencies/institutions, including representatives of DCYF
  • Respond to questions from students, DCYF staff and the general public regarding CWTAP and understand when and where to refer
  • Represent the program at the university, DCYF and other functions

Responsibility / Duty: Student Recruitment and Admissions:
  • Working with Director and FFIs to develop and maintain annual recruitment plan and schedule
  • Communicate with SSW to monitor admissions schedule and deadlines
  • Organize and attend CWTAP information sessions and recruitment events for prospective students, maintain list of interested applicants;
  • Working with the Director to develop printed recruitment materials designed to inform and recruit student participants
  • Work with DCYF to process background checks for applicants
  • Working with FFIs to schedule and coordinate student panel interviews
  • Assist Fiscal Analyst with coordinating participant agreement signing and document processing

Responsibility / Duty: Technology Support for CWTAP:
  • Provide support to students, staff, and faculty related to the use of technology within CWTAP including Microsoft Office products, Canvas, Navigate, IPT and potential others;
  • In consultation with Director, update and maintain CWTAP website and Canvas page
  • Update and maintain CWTAP Canvas site;
  • Maintain CWTAP shared information sources (cloud drives, etc.)

Responsibility / Duty: Fiscal Support and Backup:
  • Maintain student matriculation reports and monitor student matriculation to ensure student maintains "in good standing" status as required by program (primary);
  • Prepare quarterly registration charts for Fiscal Specialist (backup);
  • Distribute and collect Quarterly Verification Forms (QVFs) from students (primary);
  • Prepare quarterly student tuition disbursements (back-up)
  • Arrange CWTAP travel and process travel reimbursements for Director, FFIs, staff, and students (backup);
  • Purchasing duties that include reconciliation of CWTAP "Pro Card" (credit card) monthly for any expenses incurred (backup)

Conditions of Employment:
  • This is a 100% classified staff position funded under a grant contract. Continuation of the position is contingent on availability of contract funding. This grant has a decades-long history of successful grant renewal.
  • This position, during the course of university employment will be involved in the receipt of, or accountability for, university funds or other items of value; as well as the unsupervised access with the developmentally disabled, vulnerable adults or children under the age of 16. The offer of employment is contingent upon successful completion and passing of a background check prior to beginning employment.
