We are currently seeking skilled and team-oriented applicants for the following position: Program Specialist 2 - SRR

  • This position is 10-month and 30 hours/week
The Program Specialist 2 for Student Rights and Responsibilities (SRR) maintains a highly visible service presence in the Student Rights and Responsibilities Office and acts as the office lead related to the support of the Student Conduct program. The Program Specialist 2 manages the student conduct management system (Maxient) and monitors the system for reports, prioritizes, and triages responses to incident reports, and supports all student conduct personnel including professional staff, case officers, conduct boards, and appeals officers in fulfillment of mission and core functions of Student Conduct.


  • Under general supervision, manage the day-to-day activities of the office using a considerable degree of independence and discretion, and exercising sound judgment in the performance of the assigned duties. Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe and efficient manner and with minimal supervision.


  • Position serves as the primary point of contact for university stakeholders and provides service, referrals, support, and information to all constituencies in student conduct-related matters, and has extensive involvement with the public, students, faculty, and staff.


  • Position provides information, interprets, and applies rules and regulations, independently advises students, staff, and/or the public regarding department matters, policies, procedures, and es, and may recommend alternative courses of action.


  • Position works with diverse populations and assists students and others dealing with sensitive topics. Position must offer the ability to assist students and others in a non-judgmental and empowering manner, with attention to detail and a customer service orientation.


  • To be effective, the Program Specialist 2 must have strong communication and interpersonal/soft skills and excellent attention to detail.

    Required Qualifications:
    • Bachelors degree plus at least one year full-time relevant work experience; OR
    • Additional years of relevant experience may be substituted for the degree on a year for year basis; candidates with no college coursework will need to demonstrate six years of full-time relevant experience to be considered qualified.
    • Experience working in an office environment
    • Must possess excellent organizational skills and the ability to handle multiple tasks simultaneously
    • Excellent written (solid spelling, grammar, punctuation, and proofreading skills), and verbal communication skills
    • Demonstrated ability to operate with a high level of confidentiality and discretion
    • Demonstrated competency in computer skills including utilization of MS Office applications for word processing, spreadsheets, databases, records maintenance, development and use of forms, and calendar applications, with a willingness to learn platforms and applications as they emerge.
    • Ability to act calmly and effectively in emergencies and when working with challenging students
    • Demonstrated ability to apply a culturally responsive and flexible approach that is sensitive to the diverse needs of the students, faculty, administrators, and external partners as well as the requirements of the program and Eastern.

    Preferred Qualifications:
    • Direct experience overseeing program administration.
    • Experience with data collection, compiling data, preparing, and disseminating reports.
    • Demonstrated experience working with young adults

    Responsibility / Duty: Support the day-to-day operations of the SRR Office
    • Manage the day-to-day activities of the office; maintain files, telephone and mailing lists, and necessary office supplies.
    • Receive and assist visitors and telephone callers, referring them to the supervisor or other offices as appropriate.
    • Handle challenging student interactions in a professional and diplomatic manner and always maintain a calm and courteous office environment.
    • Handle complaints and conflicts diplomatically to diffuse potentially volatile situations as required.
    • Provide administrative support for the student conduct management process that includes contacting the student, scheduling a meeting/hearing, managing student correspondence, maintaining a report of student conduct violations and referrals, and managing the intake of student sanctions, complaints, appeals, and grievances.
    • Help maintain confidential files. Update and maintain various databases held within SRR.
    • Assist in file redaction of student information within disciplinary files.
    • Assist in researching different aspects of student conduct affairs policies and best practices, and other information, as needed.
    • Monitor office expenditures to assure purchases are within budget.
    • Receive and process incident reports, police reports, witness statements, etc.
    • Initiate and process forms such as purchase orders, requisitions, travel forms, printing requests, and travel expense reimbursements. Coordinate travel arrangements as requested.
    • In collaboration with the Director, recruit, hire, train and supervise 1-3 student employees.
    • Support the Director and other SRR staff with projects. answering questions, mail, etc.
    • Assist with SRR events. Gather and prepare materials for events.
    • Attend various university committee meetings on behalf of SRR, as assigned.
    • Assist with Public Records Requests and Background Clearance.

    Conditions of Employment:
    This position, during the course of university employment will be involved in the receipt of, or accountability for, university funds or other items of value, as well as the unsupervised access with the developmentally disabled, vulnerable adults or children under the age of 16. The offer of employment is contingent upon successful completion and passing of a background check prior to beginning employment.
